1. Business Operator and Scope
Bluefield Energy K.K. ("the Company," "we," "us," or "our") (Umeda Sky Building, 1-1-88 Oyodonaka, Kita-ku, Osaka 530-0001, Japan) is the personal information handling business operator with respect to personal information collected through bluefiledenergy.com (the "Service"), under Japan's Act on the Protection of Personal Information ("APPI"). Bluefield Energy provides AI-driven renewable energy forecasting and battery energy storage system (BESS) dispatch scheduling to grid operators, storage asset owners, and utility trading and operations teams operating in Japan's electricity market. This Service is directed at business customers ("Customer Organizations") and their employees, not at individual consumers. The personal information the Company handles relates primarily to authorized users at Customer Organizations who access the forecasting and dispatch platform.
2. Categories of Personal Information We Handle
In operating the forecasting and dispatch platform, the Company handles the following categories of personal information:
- Business contact information submitted during account registration or demo requests: name, job title, company or organization name, business email address, telephone number, and grid region;
- Account credentials and authentication records for platform access;
- Communication content: messages submitted via the contact form, email correspondence with our team, and support requests;
- Operational data submitted by Customer Organizations through the platform API, including grid site identifiers, storage capacity parameters, and dispatch configuration inputs (this data is operational in nature and is processed to deliver the forecast and dispatch scheduling service);
- Technical and usage information collected automatically when you access the Service: IP address, browser type and version, operating system, pages visited, session timestamps, and referral source;
- Analytics data collected via cookies or similar technologies, as described in our Cookie Policy.
The Company does not collect sensitive personal information as defined under APPI (such as race, religion, health information, or criminal records) in the ordinary course of operating this Service.
3. Purposes of Use
The Company uses personal information for the following purposes, which are notified or publicly announced as required by APPI:
- To operate, maintain, and improve the Bluefield forecasting and BESS dispatch platform, including processing grid site data submitted via API to generate day-ahead and intraday dispatch schedules;
- To respond to demo requests, inquiries, and support communications from grid operators and utility teams;
- To establish and manage accounts for authorized users at Customer Organizations;
- To deliver platform notifications, schedule update alerts, and service communications relevant to the Customer Organization's operations;
- To measure and improve platform performance and forecasting accuracy using anonymized or aggregated operational telemetry;
- To meet legal obligations and respond to lawful requests from regulatory authorities in Japan;
- To protect the security and integrity of the platform.
The Company will not use personal information beyond these stated purposes without obtaining prior consent, except as permitted by APPI. In particular, the Company does not use grid operational data submitted by Customer Organizations to train machine learning models for any purpose other than delivering the contracted forecasting service, without explicit written consent from the Customer Organization.
4. Provision to Third Parties and Cross-Border Transfers
The Company provides personal information to third parties only under the following circumstances, consistent with APPI requirements:
- To processors (委託先) acting on the Company's behalf -- for example, cloud infrastructure providers and email delivery services -- under written agreements that restrict the processor's use of personal information to the contracted purpose and require appropriate security measures;
- Where required by applicable Japanese law or by order of a competent authority;
- Where the Customer Organization has provided prior consent.
Where personal information is provided to entities in foreign countries, the Company complies with APPI Article 28. Prior to transfer, the Company confirms that the recipient country has a personal information protection regime recognized under APPI guidelines, or obtains consent after providing information about that country's protection standards. Customers may request information about any cross-border transfers affecting their personal information by contacting the Company at the address below.
5. Your APPI Rights
As the data subject (or the employee of a Customer Organization whose information the Company handles), you have the following rights under APPI with respect to retained personal data:
- Right to disclosure: you may request disclosure of retained personal data the Company holds about you;
- Right to correction, addition, or deletion: where retained personal data is inaccurate or incomplete, you may request correction, addition, or deletion;
- Right to cease use or provision to third parties: where retained personal data has been handled in violation of APPI purposes, you may request that the Company cease use or cease provision to third parties;
- Right to disclosure of records of provision to third parties: you may request disclosure of records of third-party provision where applicable under APPI.

Where identity verification is required to protect third-party rights, the Company may request appropriate evidence before processing a request.
6. Complaints
If you have a concern about how the Company handles your personal information and it is not resolved to your satisfaction after contacting us, you may file a complaint with the Personal Information Protection Commission of Japan at ppc.go.jp.
7. Data Retention
The Company retains personal information for as long as is necessary to fulfill the stated purposes of use, or as required by applicable law. Account and contact information is retained for the duration of the business relationship and for a reasonable period thereafter to resolve any disputes or comply with legal obligations. Operational telemetry used for platform improvement is anonymized or deleted when no longer needed for that purpose.
8. Security Measures
The Company implements technical and organizational security measures appropriate to the nature of the personal information handled, including access controls, encrypted transmission, and regular security reviews. These measures are designed to prevent unauthorized access, loss, destruction, falsification, or leakage of personal information as required by APPI.

10. Changes to This Policy
The Company may update this Privacy Policy to reflect changes in the Service, applicable law, or our practices.
